Follow up on the buyer’s decision, not just the attachment

Your part priced in about 90 seconds, no account.
Use a short clarification check around day 3, a schedule question around day 10 and a close-the-record message around day 30, unless the buyer gave another decision date. Those dates are an example cadence, not a response benchmark. The downloadable text contains all three drafts.

Day 3: make the offer easy to evaluate
Subject: Quote [number] — any clarification needed? Hi [name], checking that you received our offer for [part/revision] at [release quantity]. Is there any scope, inspection or delivery detail you need clarified to evaluate it? If another person owns the decision, please point me to them. Thanks, [estimator]. Before sending, verify that the quote was actually issued, the attachment is the latest version and no colleague has already received an answer. Do not resend a large drawing package just to bring the thread back to the top.
Day 10: ask about the real release
Subject: [part] — planned release timing. Hi [name], is the planned release still [quantity] for [required date]? Our offer [number] is valid through [date]. If the schedule or revision changed, please send the updated requirement so we can review price and capacity. [Contact]. This message checks assumptions instead of offering an automatic discount. A buyer waiting on engineering may need a revised decision date rather than another sales reminder. Put their answer and the next action into the quote log.
Day 30: close the loop respectfully
Subject: Closing our quote record — [number]. Hi [name], should we keep this offer open for review, or has the project been awarded or paused? A brief status update will help us maintain the right record. If it comes back later, we can review the current revision, quantity and schedule then. Thanks for considering us, [estimator]. Stop when the buyer declines, opts out or gives a clear future date. A thirty-day follow-up does not extend quote validity, reserve capacity or revive expired material pricing; those require a reviewed new offer.
