How do I get the quote from my quoting software into Fulcrum?
Price one of your own parts: Drop a STEP model or PDF drawing — about 90 seconds, no account.
Your part priced in about 90 seconds, no account.
There are three ways. You can quote in Fulcrum itself, so there is nothing to move. You can use a quoting tool that has a live Fulcrum integration: Paperless Parts and Machine Research both name Fulcrum, and Fulcrum says nearly all of its customers use its open API. Or you can export the won quote from your quoting tool and bring it into Fulcrum through its BOM and routing import, entering the sales order yourself. QuotedPart is in the third group today: it exports quotes and orders as CSV or Excel and has no direct Fulcrum connection. The table below maps each exported column to where it goes in Fulcrum.
See how QuotedPart connects to your workflow with its API, MCP server, autonomous quoting and shop-specific learning.
Option 1: quote in Fulcrum
If Fulcrum's quoting covers your parts, this is the cleanest path. The quote, item, BOM and routing are already in the system when the order arrives. Fulcrum builds quotes from BOMs and routings, nests DXF files on the quote and gives lead times from Autoschedule. The cost is that someone builds the routing for every new part by hand before the quote goes out.
Option 2: a quoting tool with a Fulcrum integration
Paperless Parts lists Fulcrum among its live ERP integrations, and Machine Research says it integrates with Fulcrum. Fulcrum describes its own API this way: open api; fulcrum says nearly all customers use it, usually with its launch team and developers; integrations are configured, not plug-and-play. In practice, an integration is a project. Fulcrum says integrations are configured during launch with a launch manager and a developer.
Ask any vendor for a demo on your own Fulcrum data, and get answers to four questions in writing. Does it create the item, or only a sales order? Does the routing arrive with minutes on your Fulcrum operations? What happens when the part number already exists? Does anything flow back from Fulcrum?
Option 3: export, import and enter
Every quoting tool can do this one. You export the won quote as CSV or Excel. You bring the item in through Fulcrum's BOM and routing import, which reads CSV and XLSX and, since January 2025, has a CopyFrom column for copying operations from another item. Then you enter the sales order with the customer's PO. For a few orders a week that takes minutes. For dozens, it is the double entry an integration exists to remove.
QuotedPart's export has one row per order line with the columns below, in inches and mm. An Excel export with assemblies adds a BOM sheet with one row per component, which helps when you build multi-level BOMs in Fulcrum.
| QuotedPart column | Fulcrum record | Notes |
|---|---|---|
| Customer, Contact, Email | Customer and contact | Match an existing Fulcrum customer by name before importing; create new ones first |
| Part Number, Rev, Description | Item number, revision, description | Fulcrum's BOM importer accepts a revision column (REV, Rev, Revision) |
| Material | Item BOM: raw material line | Use your Fulcrum material item, not the free-text name |
| Process, Routing | Item routing steps | The export has a routing summary, not Fulcrum operation IDs: build steps on your Fulcrum operations, or copy them from a similar item (CopyFrom) |
| Finish, Add-ons | Outside-processing routing step or fee line | Finishes priced in QuotedPart become a vendor step in Fulcrum |
| Qty, Unit Price, Line Total | Sales order line: quantity and price | Prices come over as quoted; Fulcrum doesn't recalculate them unless you rebuild the costing |
| PO Number, Order Date, Ship Date, Due Date | Sales order header and line due date | Autoschedule then works out whether the date holds |
| Size (in), Size (mm), Weight | Item notes or custom fields | Useful for material planning; Fulcrum has no standard field for envelope |
| Ship To, Currency, Notes | Sales order ship-to and notes | Check currency matches your Fulcrum company |
What stays manual either way
Even with an integration, some steps are judgment calls a shop shouldn't automate blind.
- Matching a new customer to an existing Fulcrum customer with a slightly different name.
- Choosing whether a repeat part uses the existing Fulcrum item and routing or the new quote's.
- Releasing the job and confirming the material is on hand or ordered.
- ITAR parts: in QuotedPart, ITAR parts go in the ITAR vault, and the export carries only their name, number, quantity and price. Material, routing and notes are entered in Fulcrum directly.
Sources and limits
Claims are dated where they can change. Product calculations are examples from the stated inputs, not a promise about a customer's quote. Competitor wording is attributed to the source shown.
- Fulcrum: Quotes built from imported or drawn BOMs and routings; costs update from labor, material and machine details (their words: “Import BOMs from drawings or CAD software and easily add routing steps.”) — source (checked 2026-11-04)
- Fulcrum: Upload a DXF on a quote to generate a nest and update material and machine time (their words: “Upload a DXF file directly on a quote to generate a nest and automatically update material and machine time cost estimates without leaving Fulcrum.”) — source (checked 2026-11-04)
- Fulcrum: Open API; Fulcrum says nearly all customers use it, usually with its launch team and developers; integrations are configured, not plug-and-play (their words: “Nearly all of our customers leverage Fulcrum's API to connect to other software”) — source (checked 2026-11-04)
- Fulcrum: Reads image files, PDFs, CSVs or XLSX files to create a bill of materials; BOM lines can be imported during the quote or sales order workflow (their words: “Fulcrum reads image files, PDFs, CSVs, or XLSXs and creates a full bill of materials in seconds.”) — source (checked 2026-10-30)
- Fulcrum: BOM and routing import/export, with a CopyFrom column on the routing tab that copies operations from another item (January 2025 update) (their words: “you can do this via import by adding a NumberAndRevision in the “CopyFrom” column on the routing tab”) — source (checked 2026-10-30)
