ProShop ERP and QuotedPart: the file hand-off that works today
QuotedPart has no live connection to ProShop. A quote priced in QuotedPart reaches ProShop as a CSV or Excel file, one row per part, that your planner imports or keys in, or through QuotedPart's webhook if you have someone to write the import. This page lists every column in that file, what to do with it on the ProShop side, and what the file leaves out. Read against the code on November 7, 2026.

Three routes, one of them on today
- A CSV or Excel fileUse this
- Any shop, no setup. Column list and steps below.
- Webhook and REST APIFor a shop with a developer
- The signed quote.accepted webhook posts the accepted order to your server; your code then creates the customer PO through ProShop's own API. QuotedPart doesn't write to ProShop on this route.
- Direct ProShop connectionBuilt, push switched off
- In Settings › Integrations › ProShop a ProShop system admin can connect an instance on version 5.2.3 or later (an authorization made under System Config › Manage Authorizations). QuotedPart then checks what that instance lets it write. Pushing orders stays off until it has been tested on a real ProShop instance; when it's on, each push makes a customer contact and a customer PO, never estimates or routings.
The same three routes sit beside JobBOSS², E2 and QuickBooks in the ERP docs' ProShop section, which is the short version of this page.
Every column in the export
In this order, in both the CSV and the first sheet of the Excel file. Prices carry two decimals; a shop set to metric gets Weight (kg).
| Column | What QuotedPart writes in it |
|---|---|
| Order | The QuotedPart quote number with its revision, for example Q-1042. |
| Customer | The customer's company name as it is on the quote. |
| Contact | The contact on that customer record. |
| That contact's email address. | |
| PO Number | The buyer's PO from the acceptance; empty while the quote is still open. |
| Order Date | The day the buyer accepted; for an open quote, the day it was sent (or last changed). YYYY-MM-DD. |
| Ship Date | The ship date the buyer asked for, else the latest line's due date. |
| Line | 1, 2, 3 … in quote order. |
| Part Number | The confirmed part number, else the one read from the drawing, else the part's name. |
| Rev | The revision, when the part or its drawing has one. |
| Description | Part name, material and finish in one line, for example "Bracket, 6061-T6, Clear anodize". |
| Material | Your QuotedPart material name, not a ProShop stock item. |
| Finish | Finishes on the part, comma-separated. |
| Process | CNC milling, CNC turning, Laser cut sheet, 3D printing or Assembly. |
| Size (in) | The model's bounding box, largest side first, in inches. |
| Size (mm) | The same box in millimeters. |
| Weight (lb) | Model volume times material density; in kg for a shop set to metric. Empty without a model. |
| Qty | The quantity ordered, or the quantity selected on an open quote. |
| Unit Price | Your quoted unit price at that quantity, two decimals. |
| Line Total | Qty times Unit Price. |
| Add-ons | Line charges with their amounts, for example "Tooling 150.00; First article 85.00". |
| Due Date | The requested ship date, else the order date plus the line's lead time in business days. |
| Routing | Every operation as work center, setup minutes and run minutes per piece: "Mill 3-axis 45+6.2/pc; Deburr 0+1.5/pc". |
| Currency | Your shop's currency code. |
| Ship To | The ship-to address on the order, on one line. |
| Notes | The part's notes. |
When an order has an assembly, the Excel file has a second sheet, BOM, with the columns Order, Line, Assembly, Part Number, Rev, Component, Type, Qty per, Qty, Material, Process, Supplier Part Number.
Which ProShop record each column usually feeds, and who on your side decides it, is mapped in getting a quote into ProShop.
From won quote to ProShop work order
- On a won quote, open the ⋯ menu and choose Export to Excel or Export to CSV. For several orders at once, Orders › Export writes the newest 500 into one file. Owners and estimators can export; view-only members can't.
- Open the file in Excel first. One row is one part at one quantity, so a three-part order is three rows with the same Order, Customer and PO Number.
- In ProShop, match the Customer column to the customer you already have rather than letting a spelling variant make a new one, then find the part by Part Number and Rev.
- Build or check the routing from the Routing cell: each entry is one work center with its setup minutes for the lot and run minutes per piece. Finishes and Add-ons become outside operations or PO charges, whichever way your shop carries them in ProShop.
- Enter the customer PO from PO Number, Qty, Unit Price and Due Date, then make the work order in ProShop as usual. Bring the rows in through whatever file import your ProShop administrator uses, or key them in; QuotedPart hasn't tested the file against a ProShop import template.
Before the first live job, export one ordinary part you have already quoted in ProShop and compare the two: setup minutes for the lot, run minutes per piece and the unit price at the same quantity. If they differ, change your rates or time formulas in QuotedPart, not the file. Want help with that first one? Email quotes@quotedpart.com.
What the file leaves out
- One quantity per part. A won order carries the quantity the buyer ordered; an open quote carries the quantity selected on each part. The other quantity breaks and their prices stay on the quote page.
- The routing is one text cell per part, not separate operation rows, so splitting it into ProShop operations is a manual step.
- Material is the name you use in QuotedPart. Picking ProShop's stock item and cut length is up to whoever enters the part.
- Assemblies: the Excel file adds a BOM sheet with each component (manufactured or purchased, quantity per assembly, material, supplier part number). The CSV has the assembly line only.
- ITAR vault parts: the file asks you to unlock the vault first, then your browser decrypts the part's material, routing, size and notes into the file. The QuotedPart server never holds that data, so the webhook and API carry only a vault part's name, number, quantity and price. How the vault works.
- Open checks on a quote (a tolerance to confirm, a stand-in material) are listed before the export, and you can export anyway. After the free trial without a card, an export asks for one, like sending a quote does.
- One-way. Changes made in ProShop don't come back to QuotedPart, and exporting the same quote twice gives two identical files, not an update.
If entering won orders by hand is too much at your volume, or a live push into ProShop is a requirement, a tool with a documented ProShop integration fits better; see how Paperless Parts and ProShop work together and the ProShop alternatives.
Questions
- Does QuotedPart integrate with ProShop?
- Not with a live connection. Today a won quote goes from QuotedPart to ProShop as a CSV or Excel file with one row per part (customer, PO, part number, revision, material, routing minutes, quantity, unit price and due date), or through QuotedPart's own quote.accepted webhook and REST API for a shop that writes its own import. A ProShop connection exists in Settings, but its order push stays off until it has been checked on a real ProShop instance.
- Which quoting tools connect to ProShop directly?
- ProShop's integrations page (read 2026-10-30) names Paperless Parts, and Paperless Parts lists ProShop among its ERP integrations (read 2026-11-04). QuotedPart isn't on either list.
- Does ProShop's own estimating read drawings?
- ProShop's estimating and quoting page (read 2026-11-06) describes templates with the shop's labor, material and vendor costs, profit guards and quantity breaks. It doesn't mention reading PDF drawings or CAD models; that is the step QuotedPart does before the file goes to ProShop.
- Do ITAR vault parts go into the export?
- Yes, once the vault is unlocked in your browser: the browser decrypts the technical fields into the file. Nothing technical about a vault part reaches the server, the webhook or the API.
- Is the hand-off two-way?
- No. The file and the webhook go one way, from QuotedPart to ProShop. Job actuals can come back into QuotedPart as a separate CSV or Excel import on the Orders page, to compare quoted and actual hours.
Running JobBOSS² instead? It gets a real push: Send to JobBOSS². For what QuotedPart does before the hand-off, see job shop quoting software.
