A C of C identifies the shipped part, revision, order, quantity and traceability, then states only what the shop’s records support. Download the editable Word-compatible document and PDF layout. They leave signature and conformity statement blank for an authorized reviewer; an example document is never a signed certificate.

Identify the exact shipment
Use the shop’s legal name and address, buyer and ship-to, certificate number and date, customer PO and line, part number, description, revision and shipped quantity. Include job, lot or serial references that link the certificate to the traveler and packing list. A reused certificate number or a revision copied from the quote can disconnect the paperwork from what was actually shipped. The template includes a records-reference field so the reviewer can find the material and inspection evidence without attaching every internal document.
Write a statement the evidence supports
Suggested drafting prompt: Based on the retained manufacturing and inspection records identified below, [shop] certifies that the listed shipment conforms to [specific PO/drawing/spec requirements], except as expressly authorized by [approved deviation reference or none]. Complete the actual scope with your quality lead and the buyer’s required wording. Do not certify compliance with every possible aerospace, defense or origin requirement simply because the buyer is in that industry. A material mill report and an outside-process certificate support their own scopes; they do not replace the shop’s review of the finished shipment.
Price preparation and keep approval real
A routine certificate may be included in standard order administration. Extra traceability reconstruction, serial records or customer-specific portals can require a separate estimated allowance, agreed before acceptance. Retain approval authority and the signed issued copy under the shop’s quality procedure. The PDF is a printable blank, not a secure electronic signature system, and the editable document should be reviewed before issue. If there is a nonconformance or concession, resolve its approval and reference it accurately rather than deleting an exception to make the certificate look clean.
